Accounts Payable Representative
Part-time – 25 hours per week
This position is responsible for the processing of invoices, purchase orders, and contracts/bids for all City purchases, and for various clerical and accounting duties as assigned by the Accounts Payable Coordinator/Payroll Specialist. Specific responsibilities will include processing invoices; run and analyze reports, check invoices for extensions, prices, quantities, freight charges, and discounts; verify proper approval, coding, and budget compliance; work with City staff to ensure proper accounts payable procedures are followed and understood; data entry of accounts payable batches; prepare invoices and vouchers to be entered for weekly computerized check run; maintain vendor certificates of insurance and W-9s; process variance reports and research differences between purchase orders and invoices and obtain appropriate authorization for differences; and assist with obtaining appropriate documents for freedom of information (FOIA) requests. This position will also assist with cash receipt balancing, mail processing and provide back-up to accounts receivable. This position may be asked to take on the responsibilities of the Accounts Payable Coordinator when the need arises.
A minimum of two years of general office support experience and a high school diploma or equivalent are required, associate’s degree is desirable. Experience working in a municipal finance department is preferred. Excellent oral and written communication skills to provide superior customer service are critical. Applicants must be detail-oriented, have the ability to maintain strict confidentiality, and maintain professional decorum. Proficient computer skills should include e-mail, internet/web, electronic record keeping, database activity, Windows, Word, Excel, Outlook and other software programs.
Starting pay for this position is $22.42/hr. This part-time position is pension qualified with the Illinois Municipal Retirement Fund (IMRF) and eligible for the 457 deferred compensation plan and paid holidays. Part-time employees are not eligible for health insurance.
