Village of Bartlett, Executive Assistant

The Village of Bartlett is a vibrant community nestled in the western suburbs of the Chicagoland area, known for its rich history and commitment to fostering a thriving environment for its residents. We are seeking a highly organized and dedicated Executive Assistant to provide comprehensive support to our Village Administrator, as well as peripheral assistance to the Village President and Board of Trustees.

As the Executive Assistant, you will play a pivotal role in ensuring the smooth operation of administrative functions within our village government. You will be responsible for offering direct support to the Village Administrator while also providing perimeter support to the Village President and Board of Trustees. This multifaceted role entails clerical, technical, and community-facing responsibilities, including managing calendars, preparing agendas, corresponding with community organizations and residents, and handling sensitive information with discretion.

Candidates should have the ability to:  Provide direct support to the Village Administrator in day-to-day administrative tasks; manage calendars and schedules for key stakeholders, including scheduling meetings and appointments; prepare and distribute agendas for meetings, ensuring all necessary documentation is included; answer phones and handle inquiries from community organizations, residents, and other stakeholders; prepare correspondence, reports, and other documents with accuracy and attention to detail; maintain records and compile information/data for reporting purposes; coordinate with various departments and external parties to facilitate efficient operations; and perform additional duties as assigned to support the overall functioning of the village government.

The ideal candidate will possess proven experience (3-5 years) as an executive assistant or similar role, preferably in a government or municipal setting; exceptional organizational and time management skills, with the ability to prioritize tasks effectively; strong communication skills, both written and verbal, with a professional and courteous demeanor; proficiency in office software and technical tools, including Microsoft Office Suite and calendar management software; ability to handle confidential information with discretion and integrity; and flexibility and adaptability to work in a fast-paced environment with changing priorities.

The Executive Assistant is a non-union, non-exempt position that works primarily 8:30 a.m. – 4:30 p.m. Starting pay is $33.00 to $40.00 per hour (DOQ).
