Village of Mount Prospect, Records Section Supervisor

The Village of Mount Prospect, Illinois, population 56,852 is located along Metra’s Union Pacific Northwest Line, 23 miles from downtown Chicago and five miles north of O’Hare International Airport.  The Village’s Police Department is seeking qualified applicants for the position of Records Section Supervisor.  The role is an exempt, full-time (37.5 hours a week) supervisory position working Monday-Friday.

The Records Section Supervisor is charged with the leadership of the Records Section, encompassing the overall supervision and administration of personnel assigned to the records section.  The Records Section Supervisor is responsible for planning, organizing, and directing the operations of the records section to ensure the section operates in an efficient and effective manner in the recording and retention of all department records while meeting state and federal guidelines and industry best practices.  The Records Section Supervisor oversees the information life cycle of all police reports within the Police Department.

Duties include, but are not limited to:

  • Ensure the proper handling, processing and safekeeping of all tickets, reports, records and documents submitted to the Records Section.
  • Serve as the Police Department’s Chief FOIA Officer by ensuring all public records requests are processed in the required response times as outlined by Freedom of Information Act guidelines.
  • Train all department personnel on systems related to LEADS and Records Management and serve as the LEADS Agency Coordinator.
  • Create statistical reports utilizing Records Management software including criminal activity reports and trends on a regular basis.
  • Adhere to the Department Records Retention Schedule for all police records to include compiling the annual Application for Destruction of Records for approval by the Illinois Secretary of State Local Records Commission and organizing their disposal.
  • Collaborate with Command Staff to establish goals and objectives for the Records Section and ensure they are achieved.
  • Coach and mentor Records Section personnel on career development.
  • Ensure compliance with federal NIBRS reporting requirements and submit agency data to required agencies including the FBI and State of Illinois.
  • Adhere to the regulations in the Juvenile Court Act in regards to automatic expungements and ensure all records are appropriately expunged.
  • Oversee the Administrative Adjudication process.
  • Ensure the compliance for receipt and transmittal of all monies received for police records and tickets.

Basic Qualifications:

  • Previous Police Records experience.
  • Understanding of the Freedom of Information Act.
  • Excellent typing and computer skills (familiarity with Microsoft Office products including Word, Excel, PowerPoint and Outlook).
  • Working knowledge of National Incident-Based Reporting System (NIBRS).
  • Working knowledge of computer-based records management software (Motorola Premier One preferred).
  • Familiarity with Administrative Adjudication Programs.
  • LEADS Full Access Certification or ability to obtain within three months of date of hire.

 

Education and Training:

  • High School Diploma or GED; college education preferred.
  • Prior police records supervisory role is preferred.
  • Prior sworn police supervisory experience is helpful.

 

The starting salary range is $82,000 to $105,000 / annually DOQ.  Excellent benefits include IMRF pension, holiday, sick, personal and vacation time, comprehensive health plans, life insurance, and 457 retirement plan.
