Elk Grove Village, Administrative Specialist

Elk Grove Village, Illinois, (pop. 33,127), a strategically located, progressive community that is home to the largest consolidated business park in North America, is seeking a dynamic, detailed and skills-oriented candidate for the position of Administrative Specialist in the Village Clerk’s Office.  Elk Grove Village is located in Cook and DuPage Counties adjacent to O’Hare International Airport and is home to approximately 3,600 businesses, located in its 5.4 square mile Business Park.

 

The Village Clerk’s Office operates as a municipal resource center serving residents, businesses and all municipal departments.  The primary functions of the Clerk’s Office include maintaining and compiling Village records and official documents, publishing legal notices for meetings and hearings, directing and processing FOIA requests, fulfilling local election requirements, and processing certain licensing applications/permits, as well as petitions that need to go before the Village Board, Plan Commission, and Zoning Board of Appeals.

 

The Administrative Specialist ensures that the Village Clerk, Village Attorney, Mayor and Board of Trustees can work effectively and efficiently by handling clerical and administrative assignments independently and maintaining a highly responsive relationship with respect to projects and assignments.

 

KEY RESPONSIBILITIES:

  • Works with Department Directors, high-ranking government officials, citizens of the community, corporate executives, and civic leaders/groups.
  • Acts as a resource and information center for the Village for various Village documents.
  • Assists with maintaining, securing, accessing and retrieving all official Village written and electronic records, documents and the Village Code.
  • Coordinates and processes Freedom of Information Act (FOIA) requests.
  • Schedules appointments and arranges meetings for the Mayor & Board of Trustees.
  • Assists with the drafting of ordinances, resolutions, and proclamations as directed by the Mayor & Board of Trustees.
  • Processes bereavement notices, applications, permits, and licenses as needed.
  • Prepares and distributes meeting agendas, schedules, public hearings, and correspondence.
  • Handles assignments related to local, State, and Federal elected officials independently.

MINIMUM QUALIFICATIONS: Completion of 30 credit hours of college course work toward an Associate’s Degree is required, with an Associate’s Degree preferred, as well as a minimum of four years of comprehensive and progressive work responsibilities, or any equivalent combination of education, experience and training.

 

LICENSES AND CERTIFICATIONS:  Possess a valid State of Illinois Driver’s License and safe driving record.

 

HOURS OF WORK:  37.5 hours per week      OPENING DATE: June 18, 2025

PAY RANGE:             $60,538 – $85,854        CLOSING DATE: July 3, 2025

 

This position qualifies for an Illinois Municipal Retirement Fund (IMRF) pension.
