The Village of Long Grove (population 8,3606) seeks a skilled and service-minded professional to serve as its Communications & Office Operations Specialist. This key position supports nearly every aspect of Village Hall operations, providing a blend of public-facing service, internal coordination, and communications support in a dynamic municipal environment. The individual selected for this role will also serve as the Deputy Village Clerk, taking on essential responsibilities related to official records, local elections, and compliance with state transparency laws.
As the Village’s primary first point-of-contact, this role helps shape the day-to-day experience of residents, visitors, and businesses. Success in this position requires professionalism, empathy, strong organizational skills, and a genuine desire to assist others. While prior government experience is helpful, a team-oriented mindset and willingness to learn are equally important.
Reporting to the Village Manager, this position supports the administrative team in a wide range of functions—responding to inquiries, managing resident contact and property records, assisting with permitting, coordinating with HOAs, preparing agendas, attending meetings, and tracking election timelines. Deputy Clerk responsibilities include preparing and certifying ordinances and resolutions, maintaining official meeting minutes (including closed sessions), and serving as the local election official in coordination with the County Clerk. Evening hours are occasionally required for public meetings.
This position also supports the Village’s communications efforts by updating the website, social media, and newsletters, and by working closely with vendors and staff to ensure accuracy, clarity, and consistency across platforms. Monitoring public feedback, responding to questions, and staying positive—even in challenging conversations—are vital. Municipal work often involves helping people who are upset or uncertain. The ability to listen carefully, process new information quickly, validate concerns, and offer facts with kindness and honesty is essential.
Candidates should have experience in customer service, office administration, or communications, and be comfortable with Microsoft Office, website platforms, and social media tools. A high school diploma is required; an associate degree or coursework in a related field is preferred. This full-time, on-site role is a chance to make a meaningful impact and be part of a small, dedicated team working to serve Long Grove with professionalism, care, and integrity. The salary range for this position is $60,000 to $70,000. Starting salary will be within the salary range and will be dependent on qualifications and include an excellent benefit package.
