FLSA Status: Non-Exempt (Eligible for Overtime)

About the Role

The Village of Glencoe is looking for a detail-driven and customer-focused Administrative Assistant to support the daily operations of our Public Works Department. This is a high-impact role that serves as the go-to contact for resident inquiries, team coordination, and administrative logistics that keep our essential services running smoothly.

 

Responsibilities at a Glance

  • Act as the primary contact for resident inquiries via phone and email
  • Manage service requests and coordinate dispatch updates to field crews
  • Manage timekeeping and on-call schedules for departmental staff
  • Coordinate safety training, occupational testing, and CDL programs
  • Track department invoices and support budget documentation
  • Communicate internal updates and Village-wide initiatives to Public Works staff
  • Maintain inventory and order office supplies, uniforms, and equipment
  • Assist in regulatory compliance prep and reporting (IRMA)
  • Support cross-functional and community-facing programs
  • Partner with vendors and external agencies to address and resolve service requests

 

 

 

 

 

Education & Experience

  • 2 years of relevant Administrative experience (Public Sector preferred)
  • High School Diploma or equivalent required
  • Working knowledge of Executime
  • Organized, resourceful, and able to manage multiple priorities
  • Strong communicator with a service-first mindset
  • Comfortable using Microsoft Office; knowledge of SeeClickFix or Polimorphic is a plus

  • Reports to: Public Works General Superintendent
  • Supervises: None
