Salary Grade: 3 ($69,094-$93,276)
FLSA Status: Non-Exempt (Eligible for Overtime)

About the Role
The Village of Glencoe is looking for a detail-driven and customer-focused Administrative Assistant to support the daily operations of our Public Works Department. This is a high-impact role that serves as the go-to contact for resident inquiries, team coordination, and administrative logistics that keep our essential services running smoothly.
Responsibilities at a Glance
- Act as the primary contact for resident inquiries via phone and email
- Manage service requests and coordinate dispatch updates to field crews
- Manage timekeeping and on-call schedules for departmental staff
- Coordinate safety training, occupational testing, and CDL programs
- Track department invoices and support budget documentation
- Communicate internal updates and Village-wide initiatives to Public Works staff
- Maintain inventory and order office supplies, uniforms, and equipment
- Assist in regulatory compliance prep and reporting (IRMA)
- Support cross-functional and community-facing programs
- Partner with vendors and external agencies to address and resolve service requests
Education & Experience
- 2 years of relevant Administrative experience (Public Sector preferred)
- High School Diploma or equivalent required
- Working knowledge of Executime
- Organized, resourceful, and able to manage multiple priorities
- Strong communicator with a service-first mindset
- Comfortable using Microsoft Office; knowledge of SeeClickFix or Polimorphic is a plus
